Privacy Policy

RVDesk is operated by Inertia Solutions, LLC ("we", "us", or "our"). This policy explains what information we collect when you use our service-request platform, how we use it, and your rights.

What we collect

  • Contact details — name, email address, and phone number you provide on the intake form.
  • Vehicle information — year, make, model, length, slides, VIN, and photos of your RV.
  • Service address — the location where you need service performed.
  • Payment responsibility — whether you are paying out of pocket, through an extended warranty, or a factory warranty. We do not collect credit card or banking information.
  • Communications — any messages, notes, or photos you send us during the service process.
  • Usage data — page visits and error events collected automatically via Sentry for diagnostic purposes.

How we use it

  • Scheduling and completing your RV service request.
  • Sending you status updates and your service estimate by email and/or SMS (if you opted in).
  • Creating or matching your record in our accounting system (QuickBooks Online) so invoices can be generated.
  • Improving platform reliability using aggregated, anonymous error data.

Who we share it with

We do not sell your data. We share your information in two ways:

Service fulfillment. When you submit a service request through RVDesk, your contact details, vehicle information, and service-request details are shared with the independent mobile RV technician assigned to your request so they can fulfill the service. The technician acts as a service provider to RVDesk; they receive only the information necessary to complete your repair or inspection. We do not share your information with technicians for marketing purposes.

Mobile phone numbers. Your mobile phone number will never be shared with third parties for marketing purposes. It is used solely to send transactional SMS messages related to your service request (if you opted in) via our SMS provider, Twilio.

We also share data with the technical sub-processors listed below, solely to operate the platform:

  • Neon (database hosting) — your data is stored in a Neon PostgreSQL database with automatic backups.
  • Vercel (application hosting and file storage) — the platform and your uploaded warranty documents run on Vercel infrastructure.
  • Resend (transactional email) — used to send sign-in links and estimate emails.
  • Twilio (SMS) — used to send appointment reminders and status updates if you opted in to SMS.
  • Intuit QuickBooks Online — your name, email, phone, and address are synced to create a customer record for invoicing.
  • Google (Maps) — your service address is geocoded via the Google Maps API to calculate drive distance.
  • Sentry (error monitoring) — anonymized error events and stack traces are sent to Sentry to help us fix bugs.

Google user data (technician accounts)

If you are a technician using RVDesk and you choose to connect your Google Calendar, we access your calendar data using the calendar.readonly OAuth scope. This is an optional integration you can connect or disconnect at any time from your Settings page.

What we access: your primary Google Calendar, for events occurring within the next 30 days.

What we extract and use: only the start and end timestamps of your events, used to identify busy time blocks so our scheduling engine does not propose customer appointment slots that conflict with your existing calendar. Event titles, descriptions, locations, attendees, and any other event metadata are discarded immediately and never stored.

How it is stored: calendar event data is fetched on demand and cached in server memory for 15 minutes. It is never written to our database. Your OAuth access and refresh tokens are encrypted at rest using AES-256-GCM and are deleted when you disconnect the integration.

What we do not do: we do not create, modify, or delete events in your calendar; the integration is read-only by design. We do not share, sell, or transfer your Google Calendar data to any third party. We do not use Google user data to train, develop, or improve generalized AI/ML models.

RVDesk's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Data retention

We retain your contact and vehicle information for as long as your service history is active, or up to five (5) years after your last interaction, whichever is longer. You may request deletion at any time (see "Your rights" below). Uploaded warranty documents are stored for up to one (1) year.

Cookies

We use a single session cookie to keep you signed in to your customer portal. We do not use advertising cookies or third-party tracking cookies. The session cookie is httpOnly, Secure, and expires when you sign out or after 30 days of inactivity.

Your rights (CCPA)

If you are a California resident, you have the right to know what personal information we have collected about you, request deletion, and opt out of any sale of your personal information (we do not sell it). To exercise these rights, email us at privacy@inertiasolutions.io. We will respond within 45 days.

Security

Data is encrypted in transit (TLS 1.2+) and at rest. OAuth tokens for third-party integrations are stored encrypted using AES-256-GCM. Access to production data is restricted to authorized personnel.
